Billing and plans
The free trial, the plans and their fixed monthly prices, changing plans, what happens if a payment fails, and cancelling.
Last updated 10 August 2026.
The trial
Every company gets 20 days free from the moment it signs up, with every feature. You don't need a card to sign up. WorkOrders only asks for payment details when you choose a plan.
When the trial ends, nothing is deleted. Until someone chooses a plan, you and your team will see a screen saying the trial has ended instead of your jobs. Every work order, customer and photo stays exactly as you left it, and it's all back as soon as a plan is chosen. An owner sees a "Choose a plan" button on that screen. Everyone else sees a note asking them to contact their account owner, because only an owner can set up billing.
The plans
Each plan is a fixed monthly price, however many people use it. People often miss this. A company on a plan pays the same whether it has two people on the account or uses every seat the plan allows. Adding someone never puts the price up on its own. If they fit under the plan's limit, nothing changes. If they don't, you move up to the next plan.
- Van: up to 3 active team members, $29 a month ($33.35 including GST) .
- Crew: up to 10 active team members, $79 a month ($90.85 including GST) .
- Yard: up to 25 active team members, $149 a month ($171.35 including GST) .
- Fleet: for a bigger business than the plans above can hold. This one has no list price and no fixed number of seats. We agree both with you, because a business of forty and a business of four hundred need different things. Get in touch and we'll talk it through.
Every price shown is excluding GST. GST is added at checkout for New Zealand customers and shown as a separate line on the invoice. Van is $29 a month excluding GST, which comes to $33.35 including GST. Billing is monthly only.
Choosing or changing a plan
Only an owner can see or change the plan, from /billing. Administrators can't, in the same way they can't change the company-wide security setting. When you choose a plan, you're taken to Stripe's checkout page to pay. WorkOrders never sees or stores your card details.
Moving to a bigger or smaller plan works the same way, from the same page. If you subscribe during your trial, you don't lose the rest of it. You keep the days you have left, and the first payment is only taken when the trial ends.
A pending invitation takes up a seat, just like someone who's already on the account. So when you're choosing a plan, count the invitations that haven't been accepted yet as well as the people already on the account. See your team for how invitations and seats work together.
Moving to a plan that's too small for your current team doesn't remove anyone. The account is marked as over its limit, and the owner or an admin can sort it out in their own time, either by taking someone off the account or by moving back up a plan. Nobody gets switched off in the middle of a job because of a downgrade.
If the trial ends or a payment fails
Either way, the app shows a screen explaining what's happened, and nothing else opens until it's sorted. The billing page always stays open, so you can always get back in. Nothing is deleted and no work is lost. As soon as a plan is chosen or a payment goes through, everything is back where you left it.
Cancelling
You can cancel from the billing page at any time. You keep using WorkOrders until the end of the month you've already paid for, and you can undo the cancellation any time before then. Cancelling doesn't touch your data. When the paid month ends, it's the same as when a trial ends: nothing is deleted, and it's all back as soon as you subscribe again.
Invoices and receipts
The billing page has a Manage payment & invoices button that takes you to Stripe's billing portal. That's where you'll find your card details, your invoice history and your receipts. It's also where you update a card or download a tax invoice for your accountant.
